This policy applies to bowmonk.com, in-carpc.co.uk, smart-weigh.co.uk and techeonix.com, and to Bowmonk Ltd trading as Bowmonk, In-CarPC, SmartWeigh and Techeonix.
1.1We are Bowmonk Ltd, registered in England and Wales, company number 00894982, Diamond Road, Norwich, NR6 6AW. We trade as Bowmonk, In-CarPC, SmartWeigh and Techeonix. For everything described in this policy we are the data controller, and we are registered with the Information Commissioner’s Office under registration ZB993592.
1.2We are not required to appoint a Data Protection Officer. The person responsible for data protection is the General Manager. Contact us about anything in this policy on +44 (0)1603 485 153, at [email protected], or by post to the address above.
1.3This policy explains what personal data we collect, why, who receives it, how long we keep it, and your rights, under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations, each as amended by the Data (Use and Access) Act 2025.
2.1What we collect depends on what you do. An enquiry needs only your name and contact details. An order needs your billing and delivery details and your order history. Beyond that, we may hold: device registration and calibration records (your name, company, address, device model, serial number and calibration dates, which also drive our calibration reminder letters); support booking details (name, email, phone and appointment information); chat conversations from the assistant on bowmonk.com; correspondence by email and post; trade account application details, including the trade references you give us; CCTV images if you visit our Norwich premises; and job application details if you apply to work with us.
2.2We do not collect or store your full card details. Card payments are entered directly with our payment providers, who are certified to handle them.
2.3Our websites collect limited technical data, such as your IP address and how the site is used, as described in section 9 (cookies).
3.1To supply goods and services you have asked for: processing orders, deliveries, calibrations, repairs, installations, software support and bookings. Legal basis: performance of a contract.
3.2To answer enquiries, provide quotes, send calibration reminder letters, keep records of support work and secure our premises with CCTV, so we have an accurate record of instructions and can train our team. Legal basis: our legitimate interests in running the business well and keeping accurate records.
3.3To keep accounting, tax and warranty records. Legal basis: legal obligation.
3.4To send marketing, as described in section 4. Legal basis: legitimate interests for existing customers, or your consent.
4.1We send occasional marketing emails about our own products and services to existing customers and to people who have asked to hear from us. Every email includes an unsubscribe link. We never buy marketing lists and we never sell or trade your data.
4.2We also send occasional product information by post to existing customers, and we may invite you by email to leave a review of our service using our own email system. You can opt out of any of this at any time by contacting us, and you have an absolute right to object to direct marketing.
4.3Customer names, photographs and testimonials appear in our case studies and marketing only with permission.
5.1We share personal data only where necessary to serve you or run the business, with: our payment providers, Stripe and Elavon (Opayo), when you pay by card online or by phone; our bank, for payments by bank transfer; couriers and freight forwarders, principally DPD, to deliver your order; Amazon Web Services (SES), which sends our emails; Microsoft 365, which hosts our mailboxes and correspondence; our accounting software, and our accountants; Cloudflare, for website security; Google, for the analytics, reCAPTCHA, Maps and YouTube services described in section 9; tawk.to, which operates the chat assistant on bowmonk.com; Splashtop, which provides our remote support connections; our international distributors, if you enquire from a territory a distributor serves; specific suppliers, where their help is needed to quote for or deliver something; and the trade references you provide, when you apply for a credit account.
5.2We may also disclose data where the law requires it, for example to HMRC, law enforcement or regulators, or in connection with a sale or reorganisation of the business.
6.1Remote support sessions use Splashtop. You download and authorise each session yourself, our engineer works with you live on screen, and sessions are not recorded.
6.2We do not receive or store brake test results or vehicle registration marks. Test data passes from your PC to the DVSA directly. Your testing station and the DVSA are the controllers of MOT test data, not Bowmonk.
7.1Our websites and their databases are hosted in the United Kingdom. Some of the providers in section 5, including Microsoft, Google, Stripe, Elavon, Amazon Web Services and tawk.to, are international companies that may process data outside the UK, mainly in the United States.
7.2Where data leaves the UK we rely on the safeguards UK law provides, including the UK Extension to the EU-US Data Privacy Framework for certified US providers, UK adequacy regulations for the EEA, and the UK International Data Transfer Agreement or Addendum where needed.

8.1Where a legal requirement obliges us to keep something longer, the legal requirement wins. When a retention period ends, we securely delete or destroy the data.
9.1Our websites use cookies and similar technologies in four groups. Essential: those needed for the sites to work, including WooCommerce basket and checkout cookies and the Cloudflare security cookies and Turnstile checks that protect the sites. These need no consent. Analytics: Google Analytics and Cloudflare analytics, used solely to produce statistics about how the sites are used so we can improve them. UK law allows these without consent provided we tell you about them and give you a free, simple way to object, which the cookie banner and this section provide; you can also object by contacting us. Functionality: cookies that remember your preferences. Third party: services embedded in our pages set their own cookies when you use them, including the tawk.to chat assistant on bowmonk.com, reCAPTCHA on our forms, and YouTube videos and Google Maps where embedded. Anything that requires consent is only set after you accept it through the cookie banner.
9.2The chat assistant on bowmonk.com is AI-powered. Conversations may be reviewed by our staff so we can help you and improve the service.
9.3You can change your cookie choices at any time through the cookie settings on each site, or block cookies in your browser. A full list of the cookies on each site is available from the cookie settings panel.
10.1You have the right to: a copy of the personal data we hold about you (we respond within one month of confirming your identity); correction of inaccurate data; erasure, where we have no continuing reason or legal duty to keep it; restriction of processing; a machine-readable copy of data you gave us; objection to processing based on legitimate interests, and an absolute right to object to direct marketing; and withdrawal of consent at any time, where consent is the basis we rely on.
10.2To use any of these rights, contact us using the details in section 1. There is no charge.
11.1If you have a concern about how we handle your data, contact us at [email protected] or by post. We will acknowledge your complaint within 30 days and respond without undue delay, as required by the Data Protection Act 2018.

12.1We may update this policy from time to time. The version and effective date are shown at the foot of this page. Significant changes will be highlighted on our websites.
